Assign a task owner, estimate its elapsed calendar days and enter the IDs it depends on. The tool validates the dependency graph, computes earliest completion from your estimates and shows what is ready now. Marking a prerequisite complete updates readiness. Separate qualification from onboarding

Qualification decides whether a project should proceed; onboarding prepares an agreed project to begin. HoneyBook documents both early lead forms and later questionnaires. Turn each requirement into a task

A collected answer is not automatically a resolved requirement. Name who checks brand assets, who approves the brief and who confirms access. Asana's form-to-task behavior makes that a workflow you can test directly; in Notion you can organize the responses as database records. Asana; Notion.

Define the client approval role

Ask who can provide binding project feedback within your organization’s process and who only needs updates. Your onboarding brief should record that role before feedback arrives from several stakeholders. This is process guidance, not a claim that any tool resolves client governance for you.

Test the external experience

Open your intake form as the actual intended respondent. Check access, required questions, uploaded assets and where responses land. Activate only the workflow you reviewed

What does the dependency calculation mean?

Each task starts after its latest prerequisite's estimated finish. A task with no prerequisites starts at day zero. Duration is your estimated elapsed calendar days. The longest finish gives the earliest theoretical completion if parallel work has unlimited capacity. It is not a promised kickoff date; people, weekends, waiting and approval queues may extend it.

Know what the planner can catch.

Missing prerequisites

A task referring to an unknown ID is invalid. Remove the reference or add the required task. Export is blocked until the graph is valid.

Circular dependencies

If task A waits for B and B waits for A, neither can start. The tool detects the cycle rather than inventing a schedule.

Completed too early

A task marked done while its prerequisites are unfinished triggers a warning. It may reflect an intentional exception; review the mismatch before using the plan.
