Milanote is a reasonable starting point when the team needs a flexible visual board with notes beside references. Canva fits a designed moodboard presentation built from templates and image arrangements. Storyflow merits a look when moodboard references, shot lists and the wider project need to live together. These are workflow recommendations inferred from current official documentation, not hands-on product scores.
Whichever workspace you choose, carry a reference’s purpose into the shot list. “Warm atmosphere” is direction; “waist-up portrait, bounced warm side light, reference A for palette only” is an instruction someone can discuss on set.

Its photography guide describes uploading references, adjusting their visual hierarchy, adding explanatory notes and color swatches, and inviting collaborators to edit or comment.
Choose it when: the conversation around lighting, props and visual intent belongs beside the image. This is an editorial inference, not proof of faster production.
Handoff check: its export help lists PDF and PNG board exports, plus a ZIP of image/file content. Check a large board’s legibility before sending a single-page export; exported files do not replace the live collaboration context.

Choose it when: a clear visual presentation is the immediate deliverable. Keep your operational shot list explicit rather than expecting the collage to communicate every required frame.
Handoff check: confirm the actual asset licensing, collaboration access and export options in your account. A template or polished layout does not establish client approval or reference reuse rights.
Its photographer use case presents moodboards, shot lists and project organization together, including AI-assisted structuring. That is the vendor’s documented workflow, not a tested measure of AI accuracy.
Choose it when: your recurring problem is moving from visual direction into a shared shoot plan, rather than just arranging a presentation.

Borrow the palette, the light, the framing, or the texture. Say which one. Then write the shot in your own words.
Separate inspiration from instruction
Write what should transfer and what should not. An architectural image can suggest negative space without requiring its location, lens or exact colors.
Keep provenance beside the reference
Record the creator, source or permitted use. Uploading an image here neither licenses it nor makes it suitable for external presentation.
Map the board to the deliverables
Assign an actual reference to a named shot, identify the framing and intent, and review unmapped shots. A match is a human decision; a color palette cannot judge visual relevance.
Upload JPG or PNG images you may use. ColorThief 2.4.0 quantizes their actual pixels into approximate palette colors. This is ordinary image processing, not AI or calibrated color analysis.

Write the shots
Choose reference links yourself. Owner and priority are human notes, not approval, scheduling or capacity checks. Removing a reference requires unlinking its shots first.
JSON preserves every reference, original embedded image, note and shot. CSV preserves full shot text and mapped reference metadata, with formula-like cells escaped for spreadsheets. PNG contains uncropped reference images, titles and palettes; full notes and shot details stay in JSON/CSV. Large files consume browser memory. This is a planning aid, not color-managed proofing or a production schedule.
Review the plan. Then share the right artifact.
A reference-board image helps communicate direction. A shot list helps discuss coverage. Share both when the recipient needs both, and keep source credits and unresolved questions attached.
Does this tool automatically generate a shot list?
No. You write each shot and choose its reference. Palette extraction does not infer a scene, camera setting, quality score or permission.
Why do the palette colors differ from my editing app?
ColorThief samples and quantizes browser-decoded pixels. It filters some near-white and transparent pixels. Embedded color profiles, sampling, display calibration and photographic editing are outside this tool’s proofing scope.
Can I recover edits later?
Save editable JSON before leaving. Restore validates references and shot links, then recomputes palettes from the embedded images. Derived palette values in an imported file are not trusted.
Which workflow should a small team try first?
Start with the actual handoff: annotated references, a composed presentation, or a connected project. Check real access and run your own representative board through the chosen product before committing.
