Evaluate HoneyBook for a combined smart-file booking flow, Dubsado 3.0 for configurable package proposals connected to a contract and invoice, and Sprout Studio when photography booking belongs alongside galleries and other client records. The right choice is the workflow your client can complete and your studio can maintain; this is a documentation-based comparison, not a commercial service test.

HoneyBook

For a combined smart-file booking flow

HoneyBook's official FAQ describes smart files that can combine service selection, contracts, invoices and payment screens, scheduling and questions. A client can complete several booking actions within one flow.

Evaluate: whether your actual package choices, payment plan and contract recap stay synchronized when the client changes a selection. Rehearse the client experience with the services you plan to offer.

Dubsado 3.0

For a configurable package proposal

The current 3.0 proposal guide requires at least one package template. It describes package selection, optional contract and invoice steps, and a payment plan attached to the generated invoice. Public proposal options require Premier according to that guide.

Evaluate: package-selection rules and the resulting invoice. The guide warns against defining a payment plan in both a proposal and its flow. Its preview checks appearance; for the complete submission, use a test project with yourself as the client and open it outside your signed-in Dubsado session.

Sprout Studio

For a photography-centered client journey

Sprout's terminology guide says a booking proposal can include a contract, payment details, questionnaire and invitation. Its client portal organizes galleries, invoices, questionnaires and contracts. The workflow guide describes reusable booking-proposal templates and approval before sending.

Evaluate: whether you want booking and gallery delivery in the same studio workflow. Check the current plan requirements and rehearse the actual transition from proposal to client portal.

A PDF suits an estimate that must circulate for internal review. A hosted proposal helps when selection, signing and payment need to connect. Keep that handoff explicit: the local builder below produces an unsigned proposed scope and quote; you arrange the separate agreement and payment process.

Your scope. Illustrated proposal Your numbers.

Enter the figures you intend to propose. The illustrative demo is fictional, with no suggested market rates. Every line, added charge and payment percentage is editable. Amounts use cents; the final payment absorbs rounding so payments exactly equal the quote.

Itemized fees

Added charges are manual amounts, not tax advice or automatically determined tax liability.

Payment schedule

Internal costs appear in the editable JSON only. The client PDF contains proposed charges, scope and schedule.

A clear proposal carries the conversation.

The client should understand what they receive, what they pay and what happens next.

Choose the workflow by the next action

If a producer needs to circulate your estimate internally, start with a portable proposal. If a portrait client needs to select an option and reserve a session, rehearse the hosted booking flow. “More features” does not automatically mean fewer client decisions.

Keep scope and usage separate enough to review

Describe deliverables and proposed usage in plain language. Record the actual question when permission or exclusivity is unresolved. This builder preserves your notes; it does not grant rights or create an enforceable licensing agreement.

Explain every payment milestone

Set the booking, production and final-payment percentages yourself. Name the corresponding due date or event. Do not call a booking payment non-refundable simply because software accepts the payment; review the agreement and applicable rules for your situation.

Rehearse changes before sending

Change a quantity and confirm the total and payment schedule update. Read the exported PDF as the client will. When you move the proposal into a booking service, confirm it preserves the selected scope and current amounts.

One last read before sending.

Could the client explain the deliverables back to you without a phone call?

jsPDF 2.5.1 creates the PDF in your browser. This page does not send proposals, collect signatures, accept payment or store client details between visits. Export JSON to retain a record of the editable figures; this page does not import that record. The PDF is a proposed scope and quote for review, with your own wording; it is not a signed contract or legal template.
