Percentages must total 100. Amounts are allocated to cents using largest fractional remainders so the schedule matches the exact fee. Revision effort must already be included in your deliverable hours. Taxes, overhead and currency conversion are excluded.

Define deliverables before promises
State the artifacts, quantities, feedback process and exclusions. A “brand refresh” may mean a direction board for one client and a complete asset library for another. Agree on what approval looks like before you choose a template.
Keep internal cost and client fees separate
An internal cost rate is what effort costs your team. A client fee rate is what you charge. The planner calculates estimated direct cost from internal rates and separately calculates the fee from billing rates. Contribution is fee minus modeled direct cost; it is not whole-agency net profit.
Show options with clear boundaries

Review the final acceptance state
Qwilr explicitly states that accepted live pages cannot be edited. Proposify describes a signing audit history. Ask how a revised scope is issued and recorded in your chosen workflow. Questions to answer before sending.
What hourly rate should my agency use?
Use your own cost model and commercial decision. This guide supplies no unverified market-rate range. Consider what is included in a quoted hour, your team mix and the scope you can deliver. The demo rates are editable placeholders.
Does a contingency percentage guarantee profit?
No. This planner uses explicit contingency hours and an internal cost rate rather than a hidden risk percentage. Estimates can be wrong and overhead is excluded. Adding a client fee and adding forecast cost are separate actions.
What if my milestone percentages do not add up?
The tool marks the schedule invalid and blocks export. The visible preview and each exported document use the same calculated payment amounts; changing the percentages recomputes both.
Is the PDF the same as the internal JSON?
The client PDF and Markdown contain scope, total fees, revisions, supplied terms and the exact payment schedule. Internal JSON also contains hourly cost assumptions and the contribution calculation. It is labeled internal so you can choose what to share.
Do proposal analytics prove why a client rejected a fee?
No. Product engagement signals may show activity, but they do not establish a buyer's reasons. Ask the client what remains unclear and update the scope or explanation based on that conversation.
