The business behind the photograph

Good photographs.
A calmer studio.

Choose software around the client work you actually do. Then make one shoot's dates, costs and handoff concrete.

Editorial comparison from official documentation, checked October 5, 2026. We have not tested these commercial platforms.

The useful short answer

Buy the workflow.
Not the feature count.

HoneyBook is a candidate for a connected client-facing booking and delivery process. Dubsado is a candidate for configurable forms and repeatable client flows. Studio Ninja is a candidate for a photographer-centered job and task pipeline. Those are editorial fits—not measured winners. Trial your real inquiry, reschedule, payment and gallery handoff before choosing.

HoneyBook

For a connected client journey

Its published plans include proposals, contracts, invoices and a client portal. Essentials adds scheduling and automations. This is a sensible shortlist when the booking documents and follow-up process should live together. Official plan comparison.

HoneyBook now documents native photo galleries, separately from its Pic-Time integration. Evaluate storage, downloads and the client experience in your selected plan; do not assume an older “no galleries” comparison still applies. Gallery documentation.

US pricing snapshot: Starter $29, Essentials $49, Premium $109 per month, billed yearly. This is an annual commitment, not those amounts charged month to month. Regional prices, promotions and fees require checkout confirmation.

Trial question: can a client go from proposal through contract, payment and gallery without losing the next step?

Dubsado

For a process you want to configure

Starter includes client portals, forms, invoicing, calendar connection and tasks. Premier adds scheduler, Flows, scheduled email and integrations. The distinction matters: core organization is not the same as buying automation. Official plan guide.

Consider it when different shoot types need different intake and repeatable sequences. That fit is our judgment from documented features; setup speed and reliability need your own trial. Confirm your gallery delivery approach rather than assuming a native photo-gallery product.

Official annual table: Starter $335/year; Premier $525/year, USD. Additional brands and larger teams can add cost. Annual totals are not monthly-plan quotes. Current pricing.

Trial question: what happens when a client changes the date halfway through a configured flow?

Studio Ninja

For a photography job pipeline

The product documents leads, jobs, deadlines, tasks, invoice status, quotes, contracts and questionnaires. Its feature page describes custom workflows and gallery-related integrations. This photographer-specific vocabulary can make it a good shortlist for tracking many jobs at once. Official features.

The pricing matrix puts Starter at five active jobs, Pro at unlimited jobs and three users, and Master at unlimited jobs and users. Its Starter summary and detailed matrix differ on automation/online-booking availability: confirm the exact entitlement before buying.

Pricing is selectable in USD, GBP and AUD and monthly or yearly terms. Use the live selector for your region. We have deliberately not merged those currencies into one dollar quote. Plan and currency matrix.

Trial question: can you see today's outstanding job tasks and move a delivery date without duplicating reminders?

What makes a fair comparison?

Use the same sample client in every trial: inquiry, questionnaire, quote, contract, payment schedule, shoot, delivery and archive. Record where you need a separate gallery, accounting package or payment provider. Verify export formats, access for an assistant, automation stop conditions and payment fees in your country. We have not verified every regional fee or integration's end-to-end behavior.

A gallery integration and built-in photo hosting are different capabilities. An invoice status and settled money are different records. A contract template and legal suitability for your work are different decisions. Ask the vendor about product behavior and an appropriate professional about legal or tax obligations.

A booking is
a chain of promises.

Make the owner and due date visible before automating the reminder.

Before you book

Capture the shoot type, location, required deliverables and contact. Note what is missing rather than marking intake complete by default. Confirm scope with the client using your actual communication channel.

Before you shoot

Separate the shoot date from prep tasks. Record the location, access arrangements, contact and equipment needs. A booked calendar event does not prove that intake or payment is complete.

Before you deliver

Give editing, review and final delivery their own owners and deadlines. Record the agreed gallery destination. Export this handoff to the assistant or system you already use; this page does not upload photos or send messages.

A real working desk

Your next shoot,
ready to hand over.

Edit this clearly hypothetical example or start with your own project. The tracker stores data in this browser only. It does not book a client, process payments, verify a signature, send reminders or connect to any vendor.

The brief

Avoid entering sensitive personal details on a shared device. Currency is a label; no exchange-rate conversion occurs.

Visible cost assumptions

Every number below is yours. These sample values are not vendor prices or processing rates.

Labor cost is internal cost, not your client billing rate. Software allocation is an entered per-job share, not automatically the subscription. Processing fees are modeled on the payment volume you enter, independently of the collected amount.

Owners and deadlines

All tasks below are editable examples. Completion is your manual record. Dates are calendar days, without a timezone or notification service.

Modeled project cost
Contribution after modeled cost
Outstanding per your records
Completed tasks

Cost = direct expenses + hours × internal labor cost + software allocation + fee-bearing volume × processing rate ÷ 100 + transaction count × fixed fee. Contribution = agreed revenue − modeled cost. Outstanding = agreed revenue − your recorded collected amount.

This is a project planning estimate, not net profit or cash-flow reporting. Taxes, depreciation, insurance and other overhead are excluded unless you explicitly include them in expenses. Negative outstanding means recorded overpayment. Negative contribution means your modeled costs exceed revenue. Decimal.js performs the cost arithmetic; outputs are rounded to two decimal places.

The calendar export contains all-day shoot, delivery and incomplete dated tasks; importing it creates events in your chosen calendar. It does not configure reminders or remove previously imported events. JSON retains editable inputs; Markdown and print contain the current handoff.

See the exact exported handoff

A useful system keeps the next promise visible.

Take one exported handoff into your shortlisted software trial. Check the awkward case too: reschedule a date, change scope, record a partial payment and pause a workflow. Choose the system that supports those real decisions.

Finish your next project plan
Do I need an all-in-one studio platform?

If a small number of jobs is manageable in your existing calendar, gallery and documents, a new platform may add setup work. A shared pipeline becomes more useful when manual handoffs and follow-up are repeatedly missed. Compare the total workflow, not just the subscription.

Does this planner automatically calculate my taxes or send invoices?

No. It records your inputs and generates a planning handoff. It provides no payment, tax, contract, invoicing or vendor integration service.
