Put it into practice

Select the files you intend to inventory

Use copies you control and keep the originals available. A checksum of a converted or rescanned file will differ even when the visible pages look similar.

Review the file-level information

Check names and sizes, remembering that the timestamp came from the file's metadata. Do not relabel it as a clinician's signature or a claim event.

Store the manifest with appropriate privacy

The export may contain identifying file names. Save it where you can compare future copies without exposing unnecessary personal information.

A worked example

Two files called decision-letter.pdf may have different checksums. That tells you their bytes differ; it does not tell you which one is correct or which documents a claim requires.

A checksum identifies file bytes, not whether a document is authentic, complete or sufficient evidence for a claim. File metadata timestamps are not issue dates. This tool does not parse medical content, fill a VA form, determine eligibility or submit anything.
